1. Scope and Applicable Law

This Privacy Policy applies to Inkrise Productions LLP, Guru Ram Dass Nagar, Ludhiana, Punjab, India, and our website, nomination workflows, sponsorship enquiries, WhatsApp/email interactions, contact submissions, media coverage coordination, and event operations. It is intended to align with India's Digital Personal Data Protection Act, 2023, the Information Technology Act, 2000, and the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011.

2. Personal Data We Collect

We may collect nominee name, email, phone, address, professional profile, achievement details, photographs, videos, supporting documents, organization information, sponsor contact details, payment references, GST details, WhatsApp messages, email enquiries, contact form submissions, browser/device data, IP address, cookies, and consent preferences. If online payments are enabled, payment data may be processed by third-party payment processors; we do not intend to store full card or banking credentials.

3. Purpose of Collection

We use personal data to process nominations, verify credentials, coordinate jury review, communicate results, manage event participation, process sponsorship enquiries and payments, deliver media coverage, publish awardee or sponsor mentions, send service updates, maintain security, comply with law, resolve disputes, and improve our website.

4. Data Sharing

We may share relevant data with jury members, event vendors, media partners, photography/videography teams, magazine teams, payment processors, legal/accounting advisors, IT service providers, courier partners, government authorities where required, and sponsor coordination teams. We require service providers to handle data only for instructed purposes.

5. Retention

Nomination and event records may be retained for up to 8 years for audit, legal, tax, dispute, and archival purposes. Marketing consent records are retained until withdrawal plus a reasonable audit period. Documents not selected for further processing may be deleted or archived earlier where feasible.

6. Your Rights Under the DPDP Act

You may request access, correction, updating, erasure, withdrawal of consent, and nomination of another person as permitted by applicable law. Some requests may be refused or limited where retention is required for legal, tax, event integrity, fraud prevention, or dispute purposes.

7. Children and Minors

Our services are intended for adults. If a nominee is under 18, a parent/legal guardian or authorized institution must provide appropriate consent and documentation.

8. International Transfers

Some service providers, cloud tools, email systems, analytics tools, or payment processors may process data outside India. We take reasonable steps to use reputable providers and contractual safeguards where available.

9. Security Measures

We use reasonable administrative, technical, and organizational safeguards such as access controls, limited internal access, secure communications where available, vendor review, and data minimization. No online system is completely secure.
